December 3 Meeting Notes

Enrichment

Carla Wuthrich facilitated this conversation around potentials and possibilities for enrichment opportunities for HCS students. The following notes are in addition to the Power Point presentation given (slides will be made available on the website).
  • Are there people in the community with expertise for teachers to contact for in-class interactions and sharing of knowledge? (Thinking about a way to get a list/directory for teachers to draw from).
  • The levels of involvement and methods to engage students in creative learning and further exploration of curriculum based learning.
  • People liked the idea of having a academic partner (AP) to help support classrooms, based on teacher input.
Next steps:
  • Talking with Kitty Frazer’s subgroup to work on protocol or process for doing after-school clubs.
  • Start a list-serve for increased communication for volunteer needs and connect teachers with resources.
Principal Update/Requests
  • Family support for the holidays through the social worker. Added support is needed this year…contact Allegra if you are interested.
  • HCS Website has budget information (as current as possible); please go there for more information to look at decision packets being discussed.
Fundraising Update
  • Genevieve orders are almost complete and cleared $8000! 
  • Box Tops first round brought in $450
  • Spring fundraiser being proposed: family hike/picnic (to potentially replace the golf tournament).
Staff Appreciation
  • Talked about ways of incorporating appreciation during the PIE meeting agenda... and how to share it with staff (and let them know that their efforts have been noticed and appreciated).
Celebrations and Sharing
  • The Greek play went very well and all who participated did a great job.
  • Kindergarten and 1st grade went to the Flynn for a play 12/2.

November 4 Meeting Notes

Fall Grant Awards: 
$3,300 was budgeted for the fall round of grant requests (a percentage of money raised by PIE over the course of the year).
Requests totaled $2,557; coming in under the overall budget available, and all met eligibility requirements. Therefore, all projects submitted were fully funded. The extra $743 unallocated grant funds will be rolled into the spring grant budget.

Grantees were asked to please send photos to Kate Dodge of students engaged with the grant award items.
  • Cindy Fay: New shirts for advanced and jazz band members. ($525)
  • Alyssa Lasher: an additional iPad for the current bank of iPads that rotate around the kindergarten classrooms ($400)
  • Betsy Knox: Guided science readers for grades K and 1. ($1,232). These guided books will help children read at the “just right” level for them (Levels A-D)
  • Kelli Brown:  Electrical supplies to support the 3 new water bottle filling stations which will be paid for through a CSWD grant and drying racks to support middle school water bottle use ($400). 

Fundraising Update:
  • The Genevieve’s/Red Barn fundraiser brought in over $8000 for HCS!
  • The pumpkin sale raised over $700! Great for a last minute effort.
  • Buy Local books have brought in $480…only a few are left for sale!
  • Box Tops have brought in $450 for this first round.
  • “What the Heck, Write a Check” brought in $488 (direct donations, which are accepted at any time throughout the year.)
  • Next planned fundraiser: Pancake Breakfast and Basket Raffle in March.

Common Core Presentation:
Betsy Knox and Nancy Pollack presented to the group about the Common Core and SBAC (the replacement of NECAPS)

School Budget Community Forum:
The HCS School Budget forum presentation can be found by clicking “Budget Information” on the HCS home page, then in the “FY14/15” column in the chart, click on “Budget Forum 11/4/13.”

Any Hinesburg resident can be a Budget Buddy so long as they can attend the bi-weekly meetings as the budget is being drafted & they are a Hinesburg resident. Contact a School Board member if you are interested.

Agenda:
Discussion of the following topics:
  • What are the essential program components that we want to preserve?
  • What area, if any, do you feel need additional focus?
  • What ideas do you have about preserving the excellence that HCS stands for?

Notes:
The budget needs to be done by the 3rd week in January to be printed and ready to present to the community at Town Meeting. Tonight is the first in a series of meetings to discuss the budget that will happen throughout November, December, and January.

October 7 Meeting Notes

·      For the past three years, the overall concept of “wellness” and health is something that the Wellness Committee has been addressing actively. This includes physical activity, our connection to food, healthy eating habits, healthy activity choices, and creating a healthy school community.

·      Statement of Purpose: To foster a school and community climate that is centered around collaborative learning activities which nurture the wellness of the whole child; emotionally, intellectually, and physically.

·      Wellness Initiative ideas that have (or may soon) been introduced:
o   Increasing parent involvement grades K-5
o   Curriculum supporting healthy choices
o   Outdoor garden, composting, and worm composting
o   Increased activity as part of the school day
o   Gaining grants to support programs through funding
o   Family-School connection:
§  Cooking for Life
§  King Arthur Flour bread program
§  Wellness Fair

·      Walking Program and Exercise Breaks
o   Grades Pre-K to grade 4 are participating in the walking program. As a class, they do a ¼ mile lap around the school; for each mile they walk, a child gets a charm for their necklaces.
o   This is an optional program; most classes are participating in this effort. Diane gives Barb Spaulding’s class the data of how many students walked how many miles and they calculate the total miles walked…and are helping to plot it across a map of the United States.
o   We watched the Syd Shuffle; they are doing this in all kindergarten classes. (Google it.. it’s fantastic!)
o   ‘Spark’ is a book about the latest research in how physical activity stimulates/enhances brain activity. There are copies in the library…a book club might also emerge to continue the conversation.

·      Garden Updates:
o   The first year there were 8 garden beds (3 years ago). This year, there are 18 raised garden beds, food is coordinated with kitchen use and children are participating in the harvesting of the veggies.
o   Carrots were the most popular with the students. Other veggies raised included cucumbers, basil, tomatoes, zucchini, squash, and blueberries.
o   Approximately $250 has been saved from the cafeteria budget based on the food grown on site.
o   Community involvement was great! NRG donated the wood, the Boy Scouts made the new raised beds, a discount was provided for the soil from Gardner’s Supply, Clark’s Trucking did the soil delivery, and it was maintained all summer long by Part 2 and HCS families.
o   All winter the indoor veggie growing will be done in the flex space (basil for pizza and greens for the salad bar). In April, classes will start planting seeds for the outdoor garden.
o   Additionally, HCS is starting to get more locally grown vegetables from a company in the North East Kingdom at a reduced price.

·      Composting
o   Currently, the classrooms are composting on a volunteer basis.
o   Composters are in the garden.
o   There are new signs for the composting/recycling table in the cafeteria.
o   Milk containers have been moved to plastic so that they can be recycled.
o   Milk containers are 80% of the waste produced in the cafeteria.
§  Last year, the average was 72 pounds of waste per day before the sorting station was introduced.
§  Currently the school produces 22 pounds of waste (on average) per day.
o   CSWD came in and did training last year; hoping to do it again this year.
o   Some of the primary classes are recycling their paper towels by the classroom sinks.
o   Request for help: create a display showing where some of the composted food goes (to a local chicken farmer), CSWD’s recycle bowl (an adult is needed to lead this). Contact Heidi Simkins at simkins@mindspring.com.

·      Wellness and school climate are being incorporated into the school’s Action Plan (which is being written this year for a larger 3-year goal).
·      There is a Wellness page on the HCS website where you can get updated information and see the Mission Statement.

Business Meeting:
·      Report to the Board:  A reminder, this is a new segment of a PIE meeting. The co-principals will be sharing the information that they share with the school board on a monthly basis. 
o   This report will be also posted on the HCS website.
o   Next board meeting is 10/9/13 at CVU.
o   Thursday 10/10/13 there will be an informational session about the proposed changes for Calendar2.0

·      Fundraising:
o   Genevieve’s/Red Barn orders are still trickling in, but thus far, we look like we’re matching last year’s efforts.
o   Buy Local book sales will be wrapping up soon. Be sure to buy at the school office or through Alyssa Lasher. 
o   The Dynamic Duathalon occurred this weekend. PIE parents helped with course support.
o   PIE was also the beneficiary of the Open House dinner; to be incorporated into the larger PIE budget.
o   It was decided that the Scholastic Book Fair will not be hosted this year. Discussion about combining with Corinna Stanley to do a bigger used book sale in the spring, or our own used book sale.
o   A request for more committee members for the fundraising committee… call Kate or Alyssa.
o   Box Tops will be doing a raffle Oct 28th… remember to have your child turn in their box tops!
§  Log onto their website to play games to earn more Box Tops for the school.
o   HCS was the top seller for the VT Lake Monsters last year.  Way to go!

·      Enrichment:
o   A group of parents are beginning to meet about the topic of enrichment at HCS; what would it look like, address, scheduling, etc. Jeff is meeting with this parent group. Contact Carla if you’d like to participate in this conversation more fully at: cwuthrich@gmavt.net

·      Updates:
o   No school directory will be published this year due to respect family’s privacy of information. Allegra will follow up with classroom teachers to encourage a shared list for each class for parents to stay in touch with students’ friends.
o   Allegra clarified that the criminal background check is happening because they are getting HCS up to speed with VT laws.
o   The School House Savings program through National Bank of Middlebury will be starting soon.  Contact the local branch to volunteer, watch for more information in the Viking.



Next PIE Meeting is November 4, 2013 from 6:00-7:00 only. Main topic is Common Core Curriculum.  At 7:00pm the HCS School Board will hold its annual community forum on the upcoming school budget process for the 2014-2015 school year.

September 9 Meeting Notes

Welcome to HCS: 
Presented by Jeff O’Hara and Allegra Miller

·      Allegra and Jeff have split the various responsibilities of daily administration, but either can be contacted with questions/concerns.
o   Allegra is the primary principal for pre-K to 4th grade.
o   Jeff is the primary principal for grades 5-8.
·      Both Co-Principals will be attending all PIE meetings in efforts to increase communication within the school.
·      This year a “Program Council” has been established. A trustee/representative from each grade level is selected by their peers and will serve on a monthly committee to meet with the Co-Principals.  The intent of this is to be a sounding board for administration and to provide shared leadership for all faculty and staff within the building.

·      Open House: September 25th (Wednesday)
o   This year the format will be slightly different. Open House will begin at 5 pm. At this time, teachers can share students work in their respective rooms. Dinner will start serving at 5:30, with the Open House closing at 6:00.
o   Dinner this year will be a whole wheat pasta dinner with vegetables harvested from the garden for both the sauce and the salad.
o   Eventually, the hope is that this night will evolve into a “Curriculum Night”. As this evolves, there will be a larger conversation about if the dinner should stay on this night, or be a separate event.
o   The shift to a Curriculum Night will help in keeping families/parents of children in middle school engaged. Typically, it has been noticed that parents/families stop attending Open House around 4th or 5th grade.
o   Curriculum nights at other CSSU schools are done different nights by grade level.  This is a model that is being explored for HCS in the future.
o   Concerns were shared about making classroom viewing available for working parents; it was agreed that the Open House would end at 6 or maybe 6:30 [instead of 5:45 as originally planned] to accommodate for this. Watch the Viking and the HCS home page for confirmation on timing for this event.

·      Lunch Schedule:
o   Lunch is 20 minutes for each grade. Kindergartners are coming in 5 minutes earlier to allow for learning “hot lunch routines” and the overall lunch routine.
o   The salad bar (filled with fruits and vegetables) is available with any meal bought.  Teachers are helping kids pick out a vegetable and make great healthy choices.
o   Microwave use is being reserved for older students (grade 3 and up). 
§  Adding the microwave was a Student Council initiative. Jeff will be following up with that group to see if this is still an important amenity to have in the cafeteria.

·      The Viking:
o   The Viking will have a HCS focus and eliminate some outside programs and advertisements.  Community events will continue to be posted, but organized differently.  Non-profits groups (Cub Scouts, Girl Scouts, etc) that are directly tied to the school community will continue to be posted in The Viking.
o   The new administrative assistant, Karen, will help keep the FaceBook page updated, the HCS Home Page updated and support The Viking. 
o   The Viking will continue to be published every two weeks.

·      Use of School Space:
o   HCS is the last of the schools in the CSSU to not charge a fee to outside groups for rental space. 
o   This year, a rental fee will be charged.  This is a learning process and the fee for some non-profits that work directly with HCS students will be waived.  See Jeff for more information if you are interested in hosting a group at HCS.
o   Money raised will help offset some of the budgeting challenges and go back into building maintence and upkeep.

·      Open Question Time:
o   A parent asked about whether more grade levels could do before-school parent meetings.  Should the curriculum night idea evolve, this might replace this event some teachers provide.
§  It was also noted that the teachers that offer this are going above and beyond the school’s expectations.
o   There is now one crossing spot and crossing guard available to help children cross the street safely both before and after school.  It was noted that having 2 crossing places could be confusing to motorists, so it was reduced to just one. (Crossing is at the more northern driveway across Route 116).
o   Jeff will begin to monitor the drop-off area by the doors in the morning and to keep parents from using the bus lane.
o   Concerns were raised that buses are moving before all children are seated, that seats are not being kept for kindergarten students in the front few rows, and that doors are opening before the bus has come to a complete stop.  Allegra and Jeff will follow up on these concerns.
o   Playground supervision is being done with Kate Meyers (behavior interventionist), Liz Lach (Head of Part Two), and a variety of para-educators for grades K-5.
§  Allegra noted that should there be a concern reported by a child re: the playground, the earlier it is shared the easier it will be for the child to recall and share the events with principals.
§  Children are coached by teachers about how to address playground conflicts as they arise.
§  Bullying and harassment are things that are taken very seriously across the state. 
·      Ask open-ended questions to get information from your child. Again, the sooner the concern is shared/addressed the better.
·      If it sounds like it’s happened more than twice, it is considered bullying.  Harassment has more to do with identifying a child by a specific group (religion, race, etc).
·      HCS’s website has a bullying form on-line that parents can submit. Kate and Jeff will immediately start an investigation that will include conversations with those involved. The link is right on the HCS home page on the left. 
·      Parents encouraged Jeff to make the bullying form something that parents are more aware of.
·      David Rast (guidance counselor) goes to each classroom (all grades) to address bullying and to make sure that students know whom they can talk to when something happens.

o   Conversation/presentation topics for the first hour of the PIE meeting are tentatively slated, but open to change. If anyone has an interest in a certain topic (budget, switch to common core, bullying, etc) please contact Kate Dodge.  (dodgeopton@gmavt.net )

Business Meeting:
·      Report to the Board: This is a new segment of a PIE meeting. The co-principals will be sharing the information that they share with the school board on a monthly basis.  These reports will be posted on the HCS website.
o   Kate will start sharing PIE updates with Allegra so that the HCS report to the board will become more well-rounded.

·      Fundraising:
o   Help is wanted to support various events year round and to join the planning/committee on a monthly basis.
o   Box Tops: A reminder to cut out the Box Tops neatly (they are not accepted if they are not cut on the dotted line).
o   Buy Local Coupon Books will be sold to benefit HCS.  They will be sold at the main office, at the Harvest Festival, and at the Open House.
o   Red Barn Fundraising will be doing the fall HCS fundraiser. It is slated to begin Sept 16th.  Parents can also choose to donate directly to the school by writing a check to HCS PIE instead of shopping in the catalogs.

·      Staff Appreciation:
o   Staff appreciation will continue to have the events as last year and will be organized primarily through Sign Up Genius.

·      Enrichment:
o   Carla Wuthrich shared her interest in exploring enrichment opportunities for all children at HCS. Many ideas are out there, the possibilities are endless. If you’d like to be part of this conversation contact Carla at: cwuthrich@gmavt.net  to join the emerging conversation.  The main focus now is understanding where the current needs of the school are to plan support around going forward.

·      Communication:
o   PIE has several spots on the HCS website, provides blurbs for The Viking, updates the calendar on the HCS website, and a FaceBook group.  Volunteers are needed to assist Kate in keeping all of these avenues of communication going! Please contact Kate if you are able: dodgeopton@gmavt.net
